SUMMARY
Assists Medical Department Director with administrative aspects of department.
ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities include, and are not strictly limited to, the following:
- Prepares and coordinates all paperwork associated with students’ experiential training. Assists director in making initial and repeated field contacts to secure extern and volunteer sites.
- Maintains and updates all affiliation agreements associated with experiential training sites.
- Coordinates required extern site visit schedules among self, instructors, site preceptors, and director. May be required to go to site visits.
- Oversees scheduling of twice-yearly Advisory meetings for each program. Seeks and contacts new members from employers for committees when necessary.
- Maintains up-to-date contact information for Advisory committee members. Attends all advisory meetings.
- Reviews meeting minutes prepared by department secretary.
- Troubleshoots hardware and software issues in classrooms and staff offices. If unable to resolve issues, contacts IT department and follows up on all IT requests. Acts as liaison between Medical Department and IT Department.
- Researches and tests new software through Internet and publishers. Provides advice to instructors about available software. Checks all new incoming software disks for network compatibility through coordination with IT Department. Implements and coordinates with IT Department installation of new purchased software. Researches new equipment and furniture as required.
- Assists director in curriculum development and research pertaining to potential new programs.
- Assists director in preparation of program, classroom and instructor schedules.
- Prepares and administers all instructor/course evaluations at mid-point and end of each program. Tabulates results and maintains records.
- Checks weekly attendance records. Records or checks attendance grade on progress reports and calculates GPA.
- Keeps current on all ACCSCT standards and requirements. Disseminates pertinent information to staff.
- Keeps track of all department Faculty Personnel Reports and Staff Personnel Reports, ensuring that they are up-to-date and accurate.
- Works with Placement Officer to put final approval on all student resumes.
- Abides by all rules, regulations, and policies as determined by the department and Bidwell Training Center.
- Maintains a professional demeanor, including; establishing and maintaining positive student interaction; nondiscriminatory, fair and equal treatment of all students; being on time and prepared for each class when acting as a substitute; responding to student questions in a calm, clear and concise fashion; providing a non-threatening environment conducive to learning and positive self-esteem.
- Works cooperatively with program staff to improve the effectiveness of training.
- Attends and participates in planning meetings with department staff, directors and school employees.
- Other duties may be assigned.
SUPERVISORY RESPONSIBILITIES
There are no supervisory responsibilities associated with this position.
EDUCATION and/or EXPERIENCE
Minimum of an Associate of Science degree in a health-related field, education, or business. Bachelor of Science degree preferred. Proficiency and experience with computers required. Demonstrated ability to communicate with a diverse population.
